About the role
This is not an admin role. It is a right hand and a mini operator for our founder. You need to understand business, operations, systems and workflows well enough to take a constraint, research the solution and come back with a concrete plan, not just a question. Success is measured on one thing: time saved without any loss of quality.
What you do day to day
- Pre-process inbox and Slack. 200+ messages a day become short summaries with suggested replies, not just notifications
- Boil long threads down to what matters, plus a proposal for the next step
- Run research on request. Look into X becomes a concrete plan, built native to our ECOM OS (Notion-based workflows and SOPs)
- Drive plans over the finish line together with the team, and answer their questions along the way
- Spot system gaps. You flag where we are missing a workflow or an SOP, and you build it
- Own projects from brainstorm to finished AND documented
- Run calendar and coordination across the team and external partners
- Record short Looms when writing it out would be slower
What we expect
- Extremely detail-oriented. Nothing falls between the cracks
- Loyal and dependable on follow-up, also when no one is watching
- Clear communicator in native-level English, written and spoken
- You love structure, and you build it yourself when it is missing
- You can commit 5-10 hours a day, with a maximum 1-2 hour time difference from CET
- You understand that the whole point is time saved without loss of quality
- Experience as a Chief of Staff, EA or in operations is a plus, not a requirement

How we onboard you
- The first 30 days are about understanding our systems, processes and team. You are trained on concrete tasks, spar closely with the founder on the first assignments, and are taken thoroughly through everything you need to know to succeed with us.
- From day 31 you take over pre-processing of inbox and Slack independently. You deliver research and concrete plans on your own, and start driving smaller projects to completion with the team.
- After 90 days you run research, project ownership, documentation and follow-up independently, with weekly sparring and development of your skills and workflows.
